This Privacy Policy explains how Harmonically Labs ("Harmonically Labs," "we," "us," or "our") collects, uses, shares, and protects information when you visit or use Labs (the "Service"), including our website at labs.harmonicallylabs.com and related products for freelancers and agencies.
1. Who we are

If you use Labs as part of a workspace (for example, an agency or freelance studio), that workspace may control customer and client data it stores in Labs. In those cases, we process such data as a service provider on behalf of the workspace, and the workspace’s own privacy practices also apply.
2. Information we collect
We collect information in the following categories:
- Account and profile data — such as name, email address, password (hashed), workspace name, locale preference, and billing-related details needed to create and manage your account.
- Workspace and business content — information you and your team enter into Labs, including CRM contacts and companies, emails, documents, proposals, invoices, booking details, tasks, services, rates, and similar business records.
- Usage and device data — such as IP address, browser type, device identifiers, pages viewed, referring URLs, and approximate location derived from IP, collected through logs and (with consent where required) analytics cookies.
- Communications — messages you send us via contact forms, support channels, or email, and metadata related to those communications.
- Payment information — payment method details are processed by our payment providers (for example, Stripe). We receive limited billing metadata (such as subscription status and invoices) but do not store full card numbers on our servers.
3. How we use information
We use personal information to:
- Provide, operate, secure, and improve the Service.
- Create and manage accounts, workspaces, subscriptions, and credits.
- Process payments and send transactional notices (invoices, security alerts, product updates related to your account).
- Enable product features such as email sending, booking, document generation, CRM, and optional AI-assisted quoting or document assistance.
- Respond to support requests and communicate with you about the Service.
- Monitor abuse, prevent fraud, and enforce our Terms of Service.
- Comply with legal obligations and protect our rights.
- Measure and improve marketing and product experience, including analytics when you consent to analytics cookies.
4. AI-assisted features
Labs may offer optional AI features (for example, public quote assistants or document assistance). When you use these features, prompts, conversation content, and related workspace context you provide may be processed to generate responses and to save leads or drafts you choose to keep in Labs.
We use AI providers as processors to deliver these features. You should not submit sensitive personal data in AI prompts unless necessary for the task you are performing. Public-facing AI quote assistants may collect visitor inputs that are stored as leads in the relevant workspace.
7. Data retention
We retain personal information for as long as needed to provide the Service, maintain your account, comply with legal obligations, resolve disputes, and enforce our agreements.
Workspace content generally remains until you or your workspace administrators delete it, or until the account is closed and retention periods expire. Backup copies may persist for a limited period after deletion as part of routine backup cycles.
8. Security
We implement technical and organizational measures designed to protect personal information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
You are responsible for keeping your credentials confidential and for configuring workspace access appropriately for your team and clients.
9. International transfers
Labs may be hosted and processed in countries other than where you live. When we transfer personal information internationally, we take steps intended to ensure an appropriate level of protection consistent with applicable law.
10. Your rights
Depending on where you live, you may have rights to access, correct, delete, or export your personal information; to object to or restrict certain processing; and to withdraw consent where processing is based on consent.
To exercise these rights, contact us at ahmad@harmonicallylabs.com. We may need to verify your identity before responding. If you are an end customer of a Labs workspace, please contact that workspace directly for requests about data they control.
If you are in the European Economic Area, United Kingdom, or a similar jurisdiction, you may also have the right to lodge a complaint with your local supervisory authority.
11. Children
Labs is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will take appropriate steps to delete it.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the "Last updated" date. Material changes may also be communicated through the Service or by email when appropriate. Continued use of Labs after an update means you acknowledge the revised policy.
